Digital Membership Cards for Gyms and Fitness Studios

Gym membership doesn't run in seasons — it runs monthly, it churns, and it lives or dies on how easy the first thirty seconds of a visit are. Digital membership cards for gyms and fitness studios replace the plastic fob and the "sorry, what's your surname?" queue with a card in Apple Wallet or Google Wallet that scans in a second.

The fob problem

Most independent gyms and studios hand out a keyfob or a plastic card at sign-up. It works, until it doesn't:

  • Members lose them constantly, and each replacement is a cost plus a front-desk interaction.
  • They get handed to friends. A fob has no idea whose it is.
  • A cancelled member's fob keeps working until someone remembers to deactivate it.
  • New members wait for one to be ordered, or get a temporary paper slip.

A phone is the one thing every member brings to the gym without being reminded. Putting the membership on it removes an entire category of front-desk admin.

Check-in that takes a second

The member opens their wallet, you scan the QR code, and the screen tells you whether the membership is active. That's it. Because the check is live rather than a stored number, three things you can't do with a fob become easy:

  1. A cancelled membership stops working immediately. Revoke it and the card fails at the next scan — no chasing anyone for a fob.
  2. Expiry is built in. A three-month intro membership or a ten-class pass can carry an end date on the card, and the member can see it.
  3. You get attendance data as a by-product. Every scan is logged.

Attendance data is a churn tool

This is the part that pays for itself in an independent gym. Churn is rarely a surprise in hindsight — people stop coming a few weeks before they cancel. If you can see that a member who used to come three times a week hasn't scanned in for eighteen days, you can send an email, offer a class, or just say hello. You can't do that with a fob and a turnstile counter that only knows totals.

The scan log gives you per-member visit history and installs, which is what tracking membership card usage looks like in practice.

Membership tiers on the card

Studios usually run more than one product: off-peak, full, class pass, PT block, student, and the inevitable founder-member rate you promised in year one. A card design per tier means the front desk can see the tier without looking anything up, and the member can see what they're entitled to. The Pro plan gives you five designs and 100 active cards for £15 a month; Pro Plus is unlimited at £49.

Does it replace my gym management system?

No, and you should be suspicious of anything that claims to. If you run a system that handles direct debits, class bookings and PT scheduling, keep it. A digital membership card is the credential layer: issue it, check it, revoke it. For gyms without a full management system — which is most single-site studios — the card plus a member list is often the entire requirement.

Sign-up day, done properly

The moment a new member joins is the moment to send the card, while they're standing in front of you:

  1. Add them and email the card before they leave the desk.
  2. Watch them tap "Add to Apple Wallet" or "Add to Google Wallet" — it takes one tap and no app install.
  3. Scan it once there and then, so their first check-in is a success in front of a human.

That last step matters more than it sounds. A member who has successfully scanned once will do it unprompted forever; one who leaves with an uninstalled card in an unread email will be at the desk next week asking for a fob.

Day passes, class passes and guests

Digital cards handle short-lived memberships better than plastic ever did, because there's no per-card cost and no reason to get anything back. A ten-class pass, a two-week trial, a guest pass for a member's friend — issue it with an end date and let it expire on its own. With fobs, every one of those is a plastic item you have to chase.
