Reduce Membership Admin with Digital Cards
Nobody volunteers to be membership secretary because they enjoy stuffing envelopes. They do it because someone had to, and now it's four evenings in September and a running trickle of "can I get a replacement card?" all year. Here's how to reduce membership admin with digital cards — specifically, which jobs disappear, which don't, and roughly what it's worth.
Where the hours actually go
For a typical 200-member UK club running plastic cards, the annual admin looks something like this. The card production itself is the small part:

The honest summary: digital cards don't touch the money side at all, and they eliminate almost everything else.
The three jobs that vanish completely
- The print run. No artwork sign-off, no minimum order, no lead time, no box of cards for members who've since left. You design once and issue for ever.
- Distribution. Cards go by email and install in one tap. No envelopes, no postage, no "it never arrived", no members waiting six weeks into the season.
- Replacements. Lost cards are the classic death-by-a-thousand-cuts job — each one is trivial and there are forty a year. A digital card can't be lost; if a member gets a new phone, you resend the email.
The jobs that get quietly easier
Less obvious, but this is where the second half of the saving is:
- Corrections. Misspelled name, wrong category, wrong age group — edit it and the card updates on the member's phone. With plastic, a correction is a reprint, so most clubs just live with the errors.
- Mid-year changes. Upgrades, downgrades, someone moving from junior to senior. Same story: an edit, not an order.
- Door queries. The volunteer on the gate stops phoning the membership secretary on a Saturday, because a scan answers the question.
- The "who is actually a member" question. Committees ask this constantly and it's usually a research project. Card status answers it directly.
What digital cards do not solve
Worth being straight, because the pitch for this stuff usually isn't. Digital membership cards are not a membership management system. They will not:
- Collect your subscriptions or chase failed payments.
- Reconcile your bank statement against your member list.
- Run your fixtures, bookings, rotas or class timetable.
- Write your renewal emails for you.

The switch itself is an evening
The migration is smaller than people expect, and it's the last big admin job you do:
- Export your member list to CSV — however untidy it currently is.
- Build a card design per membership category with your club's badge.
- Import and send. Members add the card in one tap from the email.
